This helps AAPG meet hotel room block commitments and avoid penalties that could ultimately increase convention expenses. New hotel reservations must be booked with the Housing Bureau by 17 May. Additional details, policies and deadlines can be found at ACE.AAPG.org. WHERE TO STAY Rates To receive the convention room rate, all hotel reservations must be made through the Housing Bureau. Hotel rates are listed above and online. Deposits All hotels require a credit card guarantee equal to the first night's stay as a deposit. A valid credit card and expiration date should be provided with your room request. Your credit card may be charged for your first night's stay (including taxes) approximately one month prior to arrival. Hotels may cancel room reservations without notification if one night's deposit is not received prior to your scheduled arrival. If you would like to make your deposit via check, first complete the housing form, mark the appropriate box (paying via check) and then fax the form to +1 301 694 5124. Please do not send your check to the Housing Bureau. Checks or cash received for hotel deposits will be returned to you. Mail your check directly to the hotel after 24 May along with your hotel acknowledgement letter. Changes/Cancellations Changes and cancellations to existing reservations may be made online or by contacting the Housing Bureau prior to 17 May. Any changes or cancellations after 24 May must be sent directly to the hotel. At many hotels, any guaranteed room reservation not cancelled 72 hours prior to arrival and not used will subsequently be billed by the hotel to your credit card account.
