October/November/December 2021 I 13 AV Technology Enforces Professional Room Sanitization Between Meetings Most people do not know how to properly sanitize group gathering spaces. A once-over by a meeting organizer with an alcohol wipe and a spray bottle is not going to meet CDC guidelines. 1 This is something best done by the pro- fessionals from a facilities' building maintenance staff. Audiovisual technology can facilitate and enforce meeting room sanitization by automatically summoning cleaning crews after meetings and allowing new meetings to proceed only when cleaning crews have certified the rooms as clean. Figure 9 shows an overview of the concept. FIGURE 9: AV system automatically enforces room sanitization protocols by summoning cleaning crew and locking out new meetings until sanitization is performed. Request Cleaning Service from Control Interface Email facilities when meeting is finished and lock out system until sanitized Control processor sends an email once request is confirmed AV room control is released for the next user AV room control is prevented until facilities releases the room with a cleaning PIN code Request cleaning service from touchpanel At logoff from a meeting session, the AV system is programmed to display a notice on the scheduling panel at the room entrance, on the conference table AV control panel, and on the presentation screen, as well as on personal devices. A tap on the "out of order" notification confirms request for room sanitization. The AV system sends an auto- mated email to building maintenance requesting room cleaning. It lists the room as unavailable on scheduling apps and the enterprise calendaring system, and it also locks out activation of AV room control functions to prevent anyone from starting a new meeting in the room. Building maintenance personnel arrive and sanitize the room. When done with sanitization, the cleaning crew enters a confidential personal identification number (pin) into the AV system via email, smartphone app, or the sanitized conference table AV control panel. The pin entry confirms the room is sanitized and ready to host the next meeting. The "out-of-order" message is replaced with a logon screen on the AV control panel. The room status changes to "available" on scheduling apps. The scheduling panel at the room entrance and the presentation display at the front of the room show the pre-programmed welcome and health reminder message.
